Who we are

One Accord Magazine (“One Accord”, “we”, “us” or “our”) is a UK-based Christian editorial publication.

For the purposes of UK data protection law, the data controller is One Accord Magazine.

You can contact us about privacy, your personal information, or a data protection complaint at: hello@oneaccordmag.com.

What this notice covers

This notice explains how we collect, use, share and protect personal information when you:

• use the One Accord website;
• join the One Accord mailing list;
• submit a person, story, written idea, project or piece of work to One Accord; or
• contact us in relation to those activities.

It also explains your rights under UK data protection law.

Information we collect

Mailing list

When you join the One Accord mailing list, we collect:

• your email address;
• the date and time you gave consent;
• where the signup came from;
• the version of the consent wording you agreed to;
• your subscription or unsubscribe status.

We use this information to manage your subscription and demonstrate when and how consent was obtained.

Editorial submissions

When you make a submission, we may collect:

• your name;
• your email address;
• the type of submission;
• the description or information you provide;
• any relevant links;
• any supporting-material links;
• the date and time of the submission;
• subsequent correspondence about the submission.

Please only provide information that is relevant to your submission.

Because One Accord covers faith, culture, work and personal experience, a submission may sometimes include information that UK data protection law treats as sensitive or “special category” information, including information about religious beliefs.

Where you provide special-category information about yourself, we will only process that information where an appropriate legal condition applies, including your explicit consent where required.

Do not provide sensitive personal information about another person unless it is already lawfully public or you have an appropriate basis and authority to share it with us.

We may ask for further confirmation before using sensitive information relating to another person.

Technical information

When you use the website, our hosting and infrastructure providers may process limited technical information needed to operate and secure the website. This may include information such as:

• IP address;
• browser or device information;
• request timestamps;
• security and diagnostic logs.

We do not currently use this information to build advertising profiles about visitors.

How we use your information and our lawful bases

Mailing-list emails

We use your email address to send One Accord stories, interviews, editorial updates and related publication emails.

Our lawful basis is your consent.

You can withdraw that consent at any time by using the unsubscribe link in an email or contacting hello@oneaccordmag.com.

Withdrawing consent does not affect processing that was lawful before you withdrew it.

Consent and suppression records

We keep limited records showing when consent was provided and when someone unsubscribed or objected to marketing.

We do this so that we can comply with our obligations under data protection and electronic-marketing law and avoid contacting someone who has asked us not to.

Editorial submissions

We use submission information to:

• review the material submitted;
• decide whether it may be relevant to One Accord;
• contact the submitter about it;
• conduct editorial follow-up where appropriate; and
• manage possible future editorial work arising from the submission.

For ordinary personal information, our lawful basis is our legitimate interests in operating an editorial publication, reviewing submissions and communicating with people who choose to submit material to us.

We consider this use proportionate because the information is provided voluntarily for the purpose of editorial consideration and is only used in ways connected with that purpose.

Where special-category information is involved, an additional condition under data protection law must apply.

Website security and operation

Where technical information is processed for security, fraud prevention, debugging or reliable operation of the website, we rely on our legitimate interests in operating and protecting the service.

Direct marketing

The One Accord mailing list is optional.

We will not add you to the mailing list merely because you make an editorial submission.

When you join the mailing list, you actively agree to receive One Accord emails.

Every marketing email will provide a straightforward way to unsubscribe.

You may withdraw your consent or object to direct marketing at any time.

If you unsubscribe or object, we will stop sending marketing emails to you.

We may retain the minimum information necessary on a suppression or do-not-contact record so that we do not accidentally add you back to marketing communications.

Who we share information with

We use a limited number of service providers to operate the website and email systems.

Resend

We use Resend, operated by Plus Five Five, Inc., to:

• manage mailing-list contacts and subscription status;
• record mailing-list consent information;
• deliver One Accord marketing emails;
• send website submission notifications.

A submission sent through the website passes through Resend before being delivered to the One Accord email system.

Spaceship / Spacemail

We use Spaceship’s Spacemail service to host One Accord email.

Submission notifications sent to submissions@oneaccordmag.com are delivered into our One Accord email account through this service.

Website hosting

The One Accord website is hosted on Vercel, our website hosting and infrastructure provider. Vercel may process limited technical and request information needed to deliver, secure and operate the website, such as IP address, request and diagnostic logs, and device or browser information.

Vercel operates internationally and may process this information in the United Kingdom, the European Economic Area, the United States or other jurisdictions in which it operates. Where that happens, Vercel states that it relies on appropriate safeguards for international transfers, including standard contractual clauses and, where applicable, the UK and EU-US Data Privacy Framework arrangements.

We do not sell personal information.

We do not rent mailing-list information to third parties.

We do not give another organisation permission to use One Accord mailing-list information for its own marketing.

International transfers

Some of our service providers are based outside the United Kingdom or use subprocessors in other countries.

Resend is a US-based provider and may process information outside the UK. Resend states that its data-processing arrangements include international-transfer safeguards, including the UK Extension to the EU-US Data Privacy Framework and contractual safeguards where applicable.

Spaceship may also process information internationally and its data-processing terms include safeguards for international transfers, including UK contractual protections where applicable.

Where personal information is transferred outside the UK, we take steps to ensure that an appropriate transfer mechanism or safeguard applies under UK data protection law.

How long we keep information

Mailing list

We keep your mailing-list information while you remain subscribed.

If you unsubscribe or object to direct marketing, we stop using your information for marketing.

We may retain a minimal suppression record for as long as reasonably necessary to ensure that your opt-out continues to be respected.

Consent records may also be retained where reasonably necessary to demonstrate compliance with data protection and electronic-marketing obligations.

Submissions

We normally retain submissions for up to 24 months after they are received.

We may delete a submission sooner if it is no longer relevant.

If a submission progresses into active editorial consideration, commissioned work, publication or an ongoing editorial relationship, we may retain relevant information and correspondence for longer where reasonably necessary for that work, our editorial records, legal claims or other legitimate purposes.

Technical records

Technical and security logs are kept only for as long as reasonably necessary for security, troubleshooting and operation of the website, taking account of the retention settings of the relevant provider.

Your rights

Depending on the circumstances, UK data protection law may give you the right to:

• ask for access to personal information we hold about you;
• ask us to correct inaccurate or incomplete information;
• ask us to erase information in certain circumstances;
• ask us to restrict the way we use information in certain circumstances;
• receive certain information in a portable format where the right to data portability applies;
• object to processing based on legitimate interests;
• withdraw consent at any time where we rely on consent.

You have an absolute right to object to the use of your personal information for direct marketing.

Security

We take reasonable technical and organisational measures designed to protect personal information against unauthorised access, disclosure, alteration, loss or misuse.

However, no internet service or email system can guarantee absolute security.

Access to One Accord accounts and services containing personal information should be limited to people who need that access for the purposes described in this notice.

Automated decision-making

We do not use personal information collected through this website to make solely automated decisions that produce legal or similarly significant effects about individuals.

Links to other websites

The One Accord website may link to external services such as Instagram and TikTok.

When you follow an external link, the third party’s own privacy terms apply to its collection and use of information.

One Accord is not responsible for the privacy practices of third-party websites.

Cookies and browser storage

At launch, One Accord does not use advertising cookies, cross-site tracking pixels or behavioural advertising technologies.

If non-essential cookies, analytics, local storage or similar technologies are introduced later, this notice and any required consent or objection controls must be updated before those technologies are enabled.

Changes to this notice

We may update this Privacy Notice when the website, our editorial processes, our service providers or applicable legal requirements change.

The date at the top of this page will show when the notice was last updated.

Material changes that affect how existing mailing-list information is used should be communicated appropriately.
